POSITION SUMMARY

Transportation Coordinator plays a crucial role in ensuring efficient and effective transportation services for clients. This position involves coordinating transportation schedules, overseeing trip routes, managing fleet maintenance, providing exceptional customer service, and maintaining accurate data records. The coordinator must possess excellent organizational, communication, and multitasking skills, as well as technical proficiency and the ability to work well under pressure. 

ROLE AND RESPONSIBILITIES

Coordination of Transportation

·         Schedule and dispatch Client Transportation Specialists to appropriate locations according to predetermined schedules, customer requests or immediate needs

·         Monitor trip routes, ride statuses, and real-time traffic conditions to ensure efficient transportation.

·         Communicate ride details and updates to Client Transportation Specialists, clients, and care providers.

·         Monitor real-time traffic conditions and driving obstacles (e.g., construction, road closures, events) and communicate information to Client Transportation Specialists

·         Track the location of transportation specialists and volunteer drivers for efficiency and safety purposes.

·         Assist in the training of Client Transportation Specialists and other staff members as required.

·         Provide transportation services to clients as needed.

·         Resolve and oversee technical issues associated with Client Transportation Specialists

Fleet Management

·         Monitor, maintain, and record fleet maintenance.

·         Recommend necessary repairs and maintenance for fleet vehicles.

·         Ensure timely completion of scheduled maintenance tasks and address any urgent repairs promptly.

·         Maintain accurate and up-to-date records of all maintenance activities and expenses.

·         Manage and maintain fleet assets, including dash cams, child safety seats, and technical devices.

·         Address technical difficulties related to fleet assets, including hardware and software.

Customer Service

·         Provide courteous and professional assistance to incoming communications (phone calls, emails, text messages, etc.), providing assistance, answering inquiries, and directing calls to the appropriate personnel.

·         Effectively communicate ride details with clients and their care providers using the appropriate communication channels

·         Assist in training and onboarding partner agencies.

·         Manage customer escalations and resolve Tier 1 and Tier 2 issues that may arise.

·         Deliver outstanding customer support and service.

·         Deliver ongoing support to providers for their accounts.

Data Management & Record Retention

·         Enter and maintain data related to staff activities, program services, trip volumes, service quality, and customer satisfaction.

·         Process ride requests and enrolling clients

·         Maintain up to date client and customer records.

·         Ensure proper input and maintenance of driver, client, and trip notes.

·         Maintain staff and volunteer driver records and ensure driver compliance.

Miscellaneous

·         Being knowledgeable about Modus, its services, community partners and resources

·         Provide support in facilitating training for both new employees and current team members.

·         Offer recommendations for enhancing operations and improving the overall user experience on a consistent basis.

·         Assist with various projects related to operations, marketing, outreach, recruitment, and office management.



Requirements

Qualifications & Education Requirements

·         High School Diploma or GED equivalent (bachelor’s degree preferred).

·         Must pass a background check.

·         Proven experience working as a dispatcher and in the transportation/logistics fields is preferred.

Preferred Skills

·         Strong coordination, communication, and phone and computer technology skills

·         Previous experience as a dispatcher or in a relevant position

·         Tech-savvy with knowledge of relevant methods and fast typing/data entry skills

·         Familiarity with emergency procedures and guidelines

·         Excellent organizational and multitasking abilities

·         Sound judgment, critical thinking, and problem-solving skills

·         Strong clerical and organizational skills for managing schedules, routes, and personnel.

·         Proficiency in using computers for scheduling and dispatching duties.

·         Ability to multitask and remain calm under stress.

·         Effective communication and customer service skills

·         Rapid and accurate data entry

·         Ability to schedule and follow through with callers.
